HausFlow Family — Privacy Policy

Overview

This Privacy Policy explains how Mavaro Systems LLC ("we," "us," or "our") collects, uses, stores, and protects information when you use the HausFlow Family mobile application and related services (the "Service").

HausFlow Family is a household coordination app used by parents, guardians, and children. Because children may use the Service, we take data privacy especially seriously. For children under 13, please also read our Children's Privacy Policy (COPPA).


Product Boundary

HausFlow Family is a coordination product. It is not medical, mental health, legal, or professional advice.

Features designed to support household habits and routines are meant to improve coordination and clarity. They are not intended to diagnose or clinically interpret any user.


Who Uses This Service

HausFlow Family is used by two types of users:

  • Home Leaders (parents/guardians): Adult account holders who create and manage the household. Must be at least 18 years old.
  • Child Users: Kids who join a household via an invite code, operating as sub-users under the parent's account.

Different data practices apply to each role, as described below.


What Data We Collect

Account Data (Home Leaders)

  • Email address and authentication credentials
  • Display name and optional profile avatar
  • Family name and household configuration
  • Parent Mode PIN (stored encrypted; raw value never exposed to client)
  • Subscription tier and billing status
  • Legal acceptance and consent records

Account Data (Child Users)

  • Display name (entered by parent or child during onboarding)
  • Optional emoji avatar
  • Family role and household membership record
  • Points balance and reward history

We do not collect email addresses from child users. We do not require children to provide personal contact information to use the Service.

User-Created Content

  • Chore titles, descriptions, notes, and category assignments
  • Routine block titles and item lists
  • Completion notes submitted by kids
  • Proof photos uploaded by kids at chore completion
  • Handled It™ entries (kid-initiated contribution logs)
  • Parent review notes and point award records
  • Points and reward history

Device and Delivery Data

  • Device type, operating system version, and platform (iOS/Android)
  • Push notification tokens for chore assignment and routine reminder delivery
  • App crash and diagnostic signals needed for stability
  • Basic session and connectivity information

Limited Usage Data

We may collect limited in-app usage patterns to:

  • improve app stability and performance
  • improve notification timing and delivery reliability
  • understand how features are used in aggregate (not individually profiled)

We do not build behavioral profiles of individual users for advertising purposes.


What We Do Not Do

  • We do not sell your data or your child's data.
  • We do not use your data for third-party advertising.
  • We do not use cross-app tracking for advertising purposes.
  • We do not track what you do outside HausFlow Family.
  • We do not read messages, contacts, or files from other apps.
  • We do not use proof photos for any purpose other than delivering the approval flow between parent and child.
  • We do not make inferences about mental health, personality, or private identity from usage patterns.

How We Use Your Data

We use your data to:

  • create and maintain your household account
  • sync chores, routines, and family activity across devices in real time
  • deliver push notifications for chore assignments and routine reminders
  • support the parent review flow (including proof photo storage and delivery)
  • power the points and reward system
  • operate the Family Board™ and Handled It™ features for Pro users
  • improve app quality, reliability, and performance
  • provide customer support when requested
  • comply with legal obligations

Proof Photos

When a child submits a proof photo on chore completion:

  • the photo is uploaded to our secure cloud storage (Convex)
  • the photo is displayed to the parent account holder for review only
  • photos are stored for as long as the task record is retained
  • photos are deleted when the parent deletes the associated task or when the account is deleted
  • photos are not used for any purpose beyond the parent–child review flow
  • photos are not shared with any third party

Third-Party Services

HausFlow Family relies on trusted third-party services for infrastructure and delivery:

These services receive only the data necessary to perform their function. We do not permit them to use your data for their own advertising or profiling purposes.


Data Retention

Your data is stored while your account is active.

If you delete your account (Settings → Account → Privacy → Delete Account):

  • account access ends immediately
  • your user record and household data are scheduled for deletion
  • proof photos and associated media are deleted
  • some limited records may be retained where legally or operationally required (e.g., billing records, legal dispute records)

Child user data is deleted when:

  • the parent removes the child from the household
  • the parent deletes the family account
  • the child account is deleted from within Settings

For Free tier users, task and activity history beyond 30 days may be cleaned up as part of the Service. Pro users retain unlimited history.


Your Controls

From within the app, you can:

  • Delete your account — Settings → Account → Privacy → Delete Account
  • Export your data — Settings → Account → Privacy → Export my data (returns all user data as JSON)
  • Clear all household data — Settings → Account → Privacy → Clear all data (removes tasks, routines, history, and photos while keeping your account)
  • Remove a child from the household — Settings → Household → [Member] → Remove
  • Manage push notifications — Settings → Notifications (per-category controls)
  • Set quiet hours — Settings → Household → Quiet hours (no notifications during set window)

Parental Controls

Parents and guardians have full visibility into and control over child user data:

  • view all chores assigned to a child, including their completion notes and proof photos
  • approve, reject, or return any chore submission
  • review all Handled It™ entries submitted by a child
  • remove a child from the household at any time
  • delete the household account, which removes all child data

Children's Privacy

HausFlow Family is designed for use by families, which includes children under 13. We comply with the Children's Online Privacy Protection Act (COPPA).

Key principles:

  • We do not collect contact information from children
  • We do not use children's data for advertising
  • We do not share children's data with third parties for commercial purposes
  • All child-related data is accessible to and controllable by the parent account holder

Security

We implement reasonable technical and organizational safeguards to protect your data, including:

  • encrypted data transmission (TLS)
  • secure authentication via Clerk
  • encrypted storage of sensitive fields (e.g., Parent Mode PIN)
  • limited internal access to user data

No method of transmission or storage is 100% secure. We cannot guarantee absolute security, but we are committed to protecting your data with industry-standard practices.


Changes to This Policy

We may update this Privacy Policy from time to time. For material changes, we will:

  • update the "Last Updated" date at the top of this document
  • provide in-app notice where practicable
  • for changes affecting children's data, we will provide advance notice to the parent account holder

Your continued use of the Service after changes are posted constitutes acceptance of the updated policy.
